REQUEST FOR PROPOSALS
Landscaping Management
The City of Cammack Village is seeking services of a qualified vendor for the landscaping and lawn care of the public areas around the City.
The purpose of this request for proposal is to state the terms and conditions to provide landscape maintenance services on the properties of the City which is located at 2710 North McKinley Street (City Hall) and 3012 North Audubon Road (Baker Park), Cammack Village, AR 72207.
Now therefore, in consideration of the mutual promises herein contained, the parties hereto agree as follows:
•Services to be Performed. COMPANY agrees to perform the landscape maintenance services as set forth on Schedule A attached hereto and incorporated herein for all purposes.
•Term of Contract. The term of this contract shall be for an indefinite period of 12 months commencing on January 1, 2025, and ending on December 31, 2025. If there is a lapse of time between renewal, COMPANY will continue to maintain property on a monthly basis.
•Materials and Supplies. COMPANY will furnish all materials and labor necessary to perform the foregoing landscape maintenance services.
Now therefore, in consideration of the mutual promises herein contained, the parties hereto agree as follows:
This bid shall be awarded, on an all or none basis, to the most qualified bidder who meets all specified requirements, and who has the absolute capability to provide the required services.
Responses to this bid solicitation will be used to determine if the vendor has the appropriate experience, licensures, and qualifications to be considered for the project.
The vendor shall provide Comprehensive General Liability Insurance written on an occurrence basis including, but not limited to coverage for bodily injury and property damage, personal & advertising injury, public liability, products& completed operations, and contractual liability.
The vendor shall provide Worker’s Compensation Insurance in accordance with the laws of the State of Arkansas. All premiums and cost of said insurance shall be paid by the vendor.
Mowing: Allturfareaswillbemowedonaweeklybasisthroughthegrowingseason. Nomore than 1/3 of the total height will be removed at one given time. Periods of excessive rain may result in an abbreviated service for the week.
Edging: All turf perimeters along walks, curbs, retaining walls, bed, etc. will be edged weekly to maintain a neat and consistent appearance.
Trimming: All turf areas around buildings, fences, trees, other miscellaneous objects, and areas where mowers cannot be used will be trimmed weekly during the growing season.
Clean-Up: All sidewalks, curb lines, parking lots, and first floor breezeways will be cleaned of grass clippings, leaves, and mulch on a weekly basis. All hard surfaces will be sprayed as needed to prevent unwanted growth.
Beds: Landscaped areas and flower beds will be maintained on a weekly basis for debris and weed control. Bed edges will be kept clean and well defined to maintain a clean appearance.
Ground Covers: Will be pruned and maintained on an as needed basis through the growing season. Pruning of groundcovers will be determined according to plant needs. Herbicides will be used to help control weeds.
Trees: Flowering trees will be pruned annually on as needed basis for shape, structure and to enhance blooming. Domesticated trees will be pruned only to correct damage or injury and establish a canopy height of 6' to 8' above ground level. Tree trimming is normally saved for the winter months. Trees will be kept clean of water sprouts and unwanted vines. Incumbent will be responsible for pruning up to 10' in height or as can be safely reached from the ground. All pruning is to be done according to horticultural practices.
Shrubs: Shrubs will be trimmed three (3) times per year. All pruning is done according to horticultural practices. All services and schedules may change, without advance notice, due to weather and growing conditions.
Leaf Removal: L e aves will be removed weekly from property and disposed off site during the fall and winter months.
Irrigation System: Incumbent will help to monitor water usage by irrigation systems. Incumbent will address client concerns such as broken lines or heads, adjustments, additions to system, Spring start-up, Winter shutdown, etc. All services other than monitoring or breakages caused by Incumbent will be at an additional charge.
Mulch: Installation of five (5) cubic yards of hardwood mulch one time per year is included in the monthly contract price.
Flowers: Six (6) flats per color change in the Spring, Summer, and Fall are included in the monthly contract price. Flower colors and types to be approved before planting.
Chemical: Five (5) turf applications per year are included in monthly contract price.
